Assets Data Sheets for Predictive Maintenance Inventory

The assets data sheet is not only a form to organize information, it is more a sort of repository of information with which we must do the inventory of the assets and their respective data in a coherent and uniform way, not only while creating it, but constantly as any changes or new information on the asset appear.

These data sheets are created to identify the asset and collect its information, documentation, and general data. To perform predictive maintenance analysis, it is necessary to have specific information about its components or parts, which are contained in an inventory data sheet.

The inventory data sheet is divided into four parts:

  1. General information.
  2. Predictive techniques.
  3. Pictures.
  4. Detailed information.

1. General information

Here the name of the asset, the type of machine, and its criticality are recorded.

The type of asset defines its primary function, and it can be (among others):

2. Predictive techniques

The predictive technologies that will be executed on the asset or which are planned for execution are detailed.

The main predictive technologies are:

  • Vibration analysis
  • Thermography
  • Visual inspection
  • Oil analysis
  • Insulating oil analysis
  • Wear particles
  • Ultrasounds
  • Laser alignment
  • Dissolved gases analysis
  • Motor current analysis
  • Insulation test

3. Pictures

The pictures of an asset are not only to identify it, but also to serve as a visual reference to show the optimal state of the asset. Likewise, there are maintenance departments that use pictures to show the inside of the machine: gearings, couplings (without the safety protection), etc.

It is also valid to document with pictures the visual instructions of the machine related to the benches, the machine supports, the bearings housings, etc.

4. Detailed information

It refers to complementary information that must be known about the machine, and it can include manuals, specification sheets, blueprints or any other additional documentation that will be attached as a file.
